Video Deletion Policy

Videos in TrackYourRecord are temporary review assets. They exist only so a connected coach can review a specific lift and provide feedback. They are not intended to be a long-term video library.
Storage
Videos are stored in a private storage bucket. They are not public, not publicly listed, and are not available through permanent public URLs.
Videos can only be played through short-lived signed URLs generated for the trainee, the connected coach while access is active, or authorized system functions.
Video lifetime
Videos are temporary by design.
- If a video is uploaded and not reviewed by a coach, it is scheduled for deletion 7 days after upload.
- After a coach submits written feedback, the video remains available for up to 3 days so the trainee can review the feedback together with the video.
- The trainee can manually delete a video earlier from the Videos screen.
- After the review window ends, the video is scheduled for automatic cleanup.
Manual deletion by trainee
After coach feedback is submitted, the trainee can review the feedback, watch the video again, and then choose:
"I reviewed the feedback - delete video"
When the trainee confirms deletion, the actual video file is removed from storage. The video should no longer be playable through TrackYourRecord.
What deletion does
When a video is deleted:
- The actual video file is removed from storage.
- The video can no longer be played through TrackYourRecord.
- Metadata may be retained, such as exercise name, workout date, weight, set number, status, timestamps, and deletion status.
- Coach feedback text may be retained so the trainee can refer back to it as part of training history.
- Audit logs may be retained for security, support, and abuse-prevention purposes.
Automatic cleanup
TrackYourRecord uses a scheduled cleanup process to remove expired video files from storage.
The cleanup process is designed to:
- Remove unreviewed videos after the 7-day review window.
- Remove reviewed videos after the 3-day post-feedback window.
- Update video status and timestamps.
- Keep relevant metadata and coach feedback where applicable.
Automatic cleanup may not occur at the exact second a video expires. It runs on a schedule, so deletion may happen shortly after the expiration time.
Coach access
If a trainee revokes a coach's access, the coach should immediately lose the ability to view the trainee's videos through TrackYourRecord, even if those videos have not yet expired.
Revoking coach access does not automatically delete the trainee's videos. The normal deletion rules still apply unless the trainee deletes the video manually.
Deleted or expired videos
Deleted or expired videos cannot be played through TrackYourRecord.
If a video has been deleted, TrackYourRecord may still show a metadata record such as exercise name, date, status, and coach feedback, but the video file itself should no longer be available.
Limitations
TrackYourRecord controls access and deletion inside the Service. It cannot control information a coach may have already seen, remembered, written down, or separately saved outside TrackYourRecord.
Users should avoid uploading videos that include other people, sensitive background information, or anything they do not want shared with their connected coach.
